Workflows are the engine of HubSpot. They make sure leads are followed up, data stays up to date and the right person gets the right information at the right time, without anyone having to remember it. Here we explain how they work and give you ten examples you can build right away.

**In short:** A workflow in HubSpot is an automation that starts when a condition is met, for example a contact filling in a form, and then performs a series of actions such as sending emails, updating properties, creating tasks or assigning owners. Full workflows are included in Professional and Enterprise, while Starter has simpler automation.

## How does a workflow in HubSpot work?

Every workflow consists of three parts:

- **Object:** what the workflow is based on, such as contacts, companies, deals or tickets.
- **Trigger:** what starts the flow, such as a form, a changed property, a list or a date.
- **Actions:** what happens, such as emails, delays, conditions, updates, tasks and notifications.

With conditions, so called if/then branches, the same workflow can act differently depending on industry, country or lead score.

## Ten workflows most B2B companies need

### Marketing

1. **Welcome flow** for new newsletter subscribers with a few selected articles.
2. **Follow up after a download** of a guide or report, with related content.
3. **Update lifecycle stage** automatically when a contact shows buying signals. Read more about [Lifecycle Stages in HubSpot](https://leadlabs.se/en/insights/lifecycle-stages-hubspot?hsLang=en).
4. **Webinar reminder** and follow up afterwards, different for those who attended and those who did not.

### Sales

1. **Lead rotation** that assigns new leads to the right rep by region, industry or size.
2. **Notification to the rep** when a target account visits the pricing page.
3. **Task for an inactive deal** when a deal has had no activity for 14 days.
4. **Handover to the account manager** when the deal is won, with onboarding tasks.

### Data and customer service

1. **Data quality** that formats phone numbers, sets country or copies properties from company to contact.
2. **Customer satisfaction** that sends a survey when a ticket is closed.

## How to build a good workflow

1. **Draw it first.** Sketch the flow on paper or a whiteboard before you build.
2. **Have a clear goal.** What should the workflow achieve? Add a goal so contacts who reach it leave the flow.
3. **Name consistently.** For example "MKT | Ebook follow up | 2026". It makes them easy to find and maintain.
4. **Test** with a test contact before you activate.
5. **Decide on re-enrollment.** Should a contact be able to go through the flow several times?
6. **Follow up.** Look at the results after a few weeks and adjust.

## Workflows or AI agents?

With HubSpot's new AI agents, many wonder whether workflows are still needed. They are. Workflows suit situations where you know exactly what should happen. Agents suit tasks that require interpretation or tailored text. Read more in [AI agents in HubSpot](https://leadlabs.se/en/insights/ai-agents-in-hubspot?hsLang=en).

## Common mistakes

- Too many workflows affecting the same properties and colliding with each other.
- No documentation of what exists and why.
- Emails sent without regard to subscription type or legal basis.
- Old workflows left active doing things nobody knows about anymore.

## Frequently asked questions about workflows in HubSpot

### What is a workflow in HubSpot?

A workflow is an automation that starts when a condition is met and then performs one or more actions, such as sending emails, updating properties, creating tasks or assigning an owner.

### Which HubSpot license do you need for workflows?

Full workflows are included in Professional and Enterprise. Starter has simpler automation with limited triggers and actions.

### How many workflows can you have in HubSpot?

It depends on your tier. Professional and Enterprise allow hundreds of workflows. What matters is not the number but that they are documented and do not collide.

### Can workflows send data to other systems?

Yes. On Data Hub and some other tiers, workflows can send webhooks and run custom code. You can also combine them with integration platforms such as Make or Zapier.

### What is the difference between a workflow and a sequence?

A workflow is an automation for many contacts or objects. A sequence is a series of personal sales emails and tasks that a rep starts for an individual contact, and it stops when the contact replies.

## Summary

Workflows are what make HubSpot more than an address book. Start with a few flows that solve real problems, name and document them, and build further when you see results.
