# Connect HubSpot to Outlook and Gmail: log emails and meetings automatically

Sales reps live in their inbox. If every email and meeting has to be logged manually in the CRM, it will not happen. By connecting HubSpot to Outlook or Gmail it happens automatically, and the rep can use HubSpot right where they already work.

**In short:** HubSpot can be connected to Outlook, Microsoft 365 and Gmail in three ways: a connected inbox for sending and logging email from HubSpot, a connected calendar for meetings and meeting scheduling, and HubSpot's inbox add in for tracking and logging email directly from Outlook or Gmail. Together they put communication into the CRM without manual work.

## Three types of connection

### 1. Connected inbox

Each user connects their own inbox in HubSpot's settings. Then emails can be sent from HubSpot through your own address, replies are logged automatically and [sequences](https://leadlabs.se/en/insights/sequences-hubspot?hsLang=en) work.

### 2. Connected calendar

### 3. The inbox add in

HubSpot's add in for Outlook and Gmail lets you track opens, log emails to the CRM, use templates and snippets and see information about the contact, without leaving your inbox.

## How to get started

1. Ask every user to connect their inbox and calendar under their personal settings.
2. Install the add in for Outlook or Gmail, centrally through IT if you use Microsoft 365.
3. Decide what should be logged automatically and what should not.
4. Add internal domains and private addresses to the list of addresses that are never logged.
5. Show the reps how to log and track emails correctly.

## Common problems and solutions

- **Private emails get logged.** Use the list of excluded addresses and uncheck logging for sensitive emails.
- **The add in does not show in Outlook.** Check that the add in is approved in your organization's Microsoft 365 admin.
- **Duplicate meetings.** Connect only one calendar per user and avoid other calendar syncs running in parallel.
- **Reps do not log.** Automate as much as possible, and use the information in sales meetings so the value is clear.

### Does HubSpot work with Outlook?

Yes. HubSpot works with Outlook and Microsoft 365, both through a connected inbox and calendar and through HubSpot's add in used directly in Outlook.

### How do you log emails from Gmail to HubSpot?

Install HubSpot's add in for Gmail and connect your inbox. Then you can choose to log and track emails right when you write them.

### Are all emails logged automatically in HubSpot?

No, not unless you choose it. You decide whether emails are logged, and you can exclude certain addresses and domains completely.

### Can you see if the customer opened an email?

Yes. With tracking turned on you get notifications when the recipient opens the email or clicks links, with the caveat that some email clients affect the statistics.

### Does every user need to connect their own inbox?

Yes. Each user connects their own inbox and calendar. The Outlook add in, however, can be installed centrally for the whole organization.
